Wedding budgets have a habit of growing little legs. Not because couples suddenly become extravagant, but because there are so many behind-the-scenes elements that simply aren't obvious when you first start planning.
No one gets engaged and immediately thinks, "Right, let's budget for generator hire!" Or crew catering. Or power distribution.
None of these costs should come as a surprise if they're planned for from the outset. So, consider this your insider's guide to the hidden costs that luxury weddings often involve - and why they're usually worth every penny.
"But the venue has electricity..."
Does it? If you're getting married in a hotel, probably. If you're taking over a private estate, a field, or creating a completely bespoke celebration in the middle of nowhere... Maybe not.
Some of our favourite weddings have taken place in the most beautiful locations imaginable. Rolling countryside. Private family estates. Historic gardens. But beautiful doesn't always mean equipped.
Once you start adding kitchens, bars, lighting, heating, sound systems, entertainment and perhaps a late-night DJ, the power requirements increase dramatically. Which often means generators. And not just one. Professional generators, distribution boards, cabling and technicians all become part of the production.
It's one of those things nobody notices...unless it isn't there.
Heritage venues come with heritage rules
We absolutely adore working in museums, galleries and historic buildings. They're breathtaking. But they also require a different way of thinking.
You may have restricted access hours. No fixings into walls. Protected floors. Limited loading access. Conservation requirements. Additional security. Specific installation methods.
Every venue has its own personality, and often its own rulebook. That's part of the charm. It simply means more planning happens long before your guests ever arrive.
Accommodation isn't just for your guests
This one catches lots of couples by surprise.
If you've fallen in love with a beautiful countryside venue (and honestly, who could blame you?), chances are many of your suppliers will need somewhere to stay too.
Hair and makeup artists often begin before sunrise. Photographers and videographers may finish after midnight. Florists might be on site for several days installing designs. Production teams often work late into the evening before returning early the following morning.
Sometimes travelling back simply isn't practical. Budgeting for supplier accommodation can make everyone's lives easier and often results in an even smoother wedding day.
Feed your suppliers (trust me on this one)
Can I let you into a little secret?
Happy suppliers are wonderful suppliers.
Now, before anyone writes in... No, we're not suggesting a five-course tasting menu. But providing a proper hot meal for the people who have been working since dawn to create your wedding isn't just thoughtful. It's essential.
Photographers.
Videographers.
Production crews.
Bands.
Wedding planners.
Marquee teams.
Florists.
Many of them are on site for twelve, fourteen or even sixteen hours. A well-fed team is an energetic team. And an energetic team creates exceptional weddings.
Transport is bigger than you think
Most couples remember to budget for their own wedding car. Fewer remember everyone else's.
If you're planning a wedding weekend or inviting guests from overseas, transport quickly becomes one of the biggest logistical considerations.
Airport transfers.
Shuttles between venues.
Late-night coaches.
Transport for elderly relatives.
Supplier parking.
Moving guests between a church, reception and accommodation. It all adds up, but it also removes stress from your guests. And personally? I think that's money incredibly well spent.
VAT...
The Least Exciting Conversation You'll Ever Have.
I know…. Nobody enjoys talking about VAT. But it's one of the biggest reasons budgets can suddenly feel stretched. When you're requesting quotations, always check whether prices include VAT or whether it's being added afterwards.
It sounds obvious. But in the excitement of wedding planning, it's surprisingly easy to miss. We've had countless conversations beginning with:
"I thought that quote was £20,000..." Only to discover VAT hadn't yet been included. It's a simple check that can save some uncomfortable surprises later.
Overtime happens
Weddings are emotional. People don't leave when they're "supposed" to.
Grandad decides he'd quite like another dance. Your best friend tells one more story. The dance floor is absolutely packed. Suddenly everyone is having far too much fun to stop.
Which is wonderful. But it can also mean overtime.
Venue staff.
Security.
Production.
Transport.
Sometimes even photographers.
It's not something to worry about. It's simply something to understand before the day arrives.
The costs nobody likes talking about...
Breakages.
Lost napkins.
Missing wine glasses.
The odd fork that mysteriously disappears into someone's handbag. (I'm still trying to work that one out.)
When you're hiring beautiful tableware, furniture and glassware, most suppliers include reasonable wear and tear. But occasionally items are lost or damaged. It's completely normal. It's just worth keeping a small contingency within your budget.
My honest opinion...
If you've read this far, you might be thinking...
"Goodness... weddings are complicated."
Sometimes they are. But that's also what makes them so extraordinary.
One thing I always remind couples is that your budget isn't there to restrict you. It's there to empower you. Knowing where your money is going means you can make informed decisions rather than reactive ones. And that almost always leads to a better celebration.
One last thought...
If I could give every newly engaged couple one piece of advice, it would be this.
Build yourself a contingency fund.
Around 5 to 10% of your overall budget.
Not because something will necessarily go wrong. But because as your wedding evolves, you'll discover wonderful ideas you hadn't even considered at the beginning.
Perhaps you'll decide to add candlelight. Or a string quartet. Or handwritten place cards. Or those chilled bottles of water being handed out to guests for the journey home.
Some of the most memorable details aren't the ones you planned on day one. They're the thoughtful additions you discover along the way.
And those little touches? They're often what transform a beautiful wedding into an unforgettable one.
